Program Assistant

The Program Assistant position shares responsibilities between the Executive Office and the Program Departments of SAI.  Responsibilities include, but are not limited to:

Responsibilities

Executive Office functions:

  • Provide administrative support for the executive office including:

o   Schedule all appointments, meetings, and international travel for the President

o   Handle routine correspondence for President; respond to various inquiries lodged with the President;

o   Assist in preparation of power point presentations and assembly of packets for President;

o   Prepare meeting and travel packets for President;

  • Manage logistics and coordinate drafting and submission of reports for Advisory Board, Board of Directors and other, occasional, meetings and assist with the taking of minutes;
  • Manage the organization of filing, controlling, and maintaining all Advisory Board and Board of Directors documents, terms, policies, and related procedures;
  • Create, edit and format documents as requested;
  • Conduct research as necessary;
  • Manage  logistics and information packets for meetings, both in NYC and abroad;
  • Assist President with other aspects of program management;
  • Draft routine correspondence; filing for executive office.

 

Program and Training Department functions:

  • Provide pre- and post-course customer service for training course participants;
  • Assist with managing the publication, preparation and distribution of all training course materials;
  • Manage training course logistics such as venue, catering, equipment;
  • Generate and distribute course completion certificates;
  • Coordinate with SAI accounting department on registration and payments
  • Develop  annual auditor training schedule;
  • Provide logistical support as needed for field-based programs and program staff in the US and abroad;
  • Provide support for the production of case studies, handbooks and other publications, including design and production;
  • Conduct research on human rights and labor issues and organizations as needed.

Finance and Administration:

  • Assure proper adherence to policy in regard to accounts receivable collections;

Qualifications and Core Competencies

Experience and Education

  • Minimum 2 years’ experience in administrative or support role
  • Bachelor’s degree in relevant field
  • Experience working with human rights and labor issues
  • Experience with both a nonprofit or social enterprise and with a private sector employer a plus

·         Familiarity with international workplace human rights, CSR issues and organizations a plus

·         Foreign language, specifically Chinese, Spanish or Portuguese, a plus

 

Skills

  • Ability to manage multiple deadlines while maintaining attention to detail
  • Exceptional communication and interpersonal skills across all dimensions (written, verbal)
  • Ability to work well under pressure while liaising in a professional and positive manner with different teams
